School Shop Network (“we”, “us”, “our”) helps schools raise funds through everyday shopping with trusted brand partners. This policy explains what information we collect through our websites, schoolshopnetwork.ca and schoolshopnetwork.com, how we use it, and the choices you have.
Who is responsible
School Shop Network is responsible for the personal information under its control. We have designated a Privacy Officer who is accountable for our compliance with this policy and with applicable privacy laws. You can reach our Privacy Officer at hello@schoolshopnetwork.com.
Information we collect
We only collect the information you choose to give us in our application forms, plus the limited technical information needed to run a website.
School applications
- School name and the grades the school serves
- School address and phone number
- The fundraising coordinator’s name and email address
When a school joins our network, we only contact the school’s designated network contact. We do not ask for or retain any student or parent contact information.
Brand partner applications
- Business name, the goods or services you provide, and your website
- Social media handles, if you choose to provide them
- Contact name, email address, phone number and business address
Email preferences
Whether you chose to receive news, updates and partnership opportunities by email, and when you made that choice.
Technical information
When you visit our websites, our hosting provider automatically processes basic technical information such as your IP address and browser type to deliver pages and protect the site from abuse. We do not use advertising or analytics cookies, and we do not track you across other websites.
Why we collect it and how we use it
We use the information you provide to:
- review your application;
- communicate with you about your application;
- manage potential partnerships and, if you join, operate the network with you as a member; and
- send you news, updates and partnership opportunities by email, only if you have opted in.
Applying does not require you to agree to marketing emails. Every marketing email we send will identify School Shop Network, include our contact information, and give you a simple way to unsubscribe. You can also withdraw your consent at any time by emailing us.
Where it is stored and who processes it
Your information is stored in a secure database operated for us by our service providers, who process it only on our instructions:
- Cloudflare, Inc.: website hosting, our application database, and email delivery.
- Google: provides the fonts used on our websites. When a page loads, your browser requests the fonts from Google, which receives your IP address.
These providers may store or process information on servers located outside your province or country, including in the United States. Information stored outside Canada may be subject to the laws of that country, including lawful access by its authorities.
We protect your information with access controls: only School Shop Network can view applications, through a password-protected dashboard, and all information is sent over encrypted (HTTPS) connections.
Sharing with third parties
We keep application information for School Shop Network use only. We do not sell, rent or trade your personal information, and we do not share it with other schools, brands or third parties for their own purposes.
We share information only with the service providers listed above so they can run our websites for us, or where we are required to by law. If a business joins as a brand partner, we may display its business name, logo, description and shop link on our websites, as agreed with that partner.
How long we keep it
- Applications are kept until we have contacted the applicant and they have decided whether to join the network.
- If an applicant decides not to join, we delete their application.
- If an applicant joins the network, we keep their details for as long as they remain a member, so we can operate the network with them.
- Email preferences are kept for as long as you are subscribed, and a record of your consent or unsubscribe request is kept as long as we are required to keep it.
Your rights and choices
You may ask us to:
- tell you what personal information we hold about you and give you access to it;
- correct information that is inaccurate or incomplete;
- delete your information, where we are not required to keep it; and
- stop sending you marketing emails.
To make a request, email our Privacy Officer. We may need to confirm your identity before acting on a request. We will respond within 30 days.
If you are not satisfied with our response, you may contact the privacy commissioner in your province or the Office of the Privacy Commissioner of Canada. Residents of the United States may have additional rights under the laws of their state; please contact us and we will help.
Children
Our application forms are intended for adults applying on behalf of a school or business. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and change the “Last updated” date above.
